Your business records.

PoolCadence provides a website and an installable web application for pool-service businesses. This notice describes the data handled by the current system. Updated October 10, 2026.

Accounts and business records

An operator account stores your name, email address, password hash, email verification and security settings. Your business workspace stores the customers, properties, pools, visits, readings, photographs, equipment, repairs, agreements, imports and financial records you enter. Authentication uses secure session cookies.

Who can access records

Business access depends on active membership and role. Customer portals expose only the customer’s permitted reports, quotes and issued invoices. Coverage and route transfers use explicit scopes and recorded acceptance. Pool history can contain records from earlier operators with their source attribution; private business and financial records do not become public pool history.

Offline copies on your devices

The app saves downloaded records, drafts and queued field work on the device you use. A write waiting to sync has not yet been confirmed by the server. Protect devices with a screen lock and avoid shared browser profiles. Signing out does not erase work awaiting synchronization. Reconnect and resolve pending work before disposing of a device.

Service providers

Vercel hosts the application. PoolCadence’s dedicated Supabase database is in the United States. Resend delivers account and business emails. Stripe handles card and merchant information when payment processing is configured. PoolCadence does not store full card numbers or merchant bank credentials.

Technical records

Authentication uses database-backed rate limits to reduce abuse. The application records business actions and financial evidence for audit and reconciliation. Hosting and email providers also keep technical delivery and request logs under their policies. The public website uses no advertising trackers or analytics cookies, and serves its fonts and previews directly.

Export and retention

Authorized operators can export their business archive from the app. Financial, service and transfer records may need to remain available for accounting, disputes or records shared with another authorized operator. Automated account deletion is not currently available. Retention periods and the business contact for privacy requests must be established before accepting paid subscriptions.

Public website

The homepage links directly to account creation and sign-in. It does not collect a separate email signup list.
